Privacy Policy
This Privacy Policy explains how Pindom LLC B, doing business as Kenneavy AI ("Kenneavy AI", "we", "us", or "our"), collects, uses, and shares personal information. It applies to our website and to the Services we provide to our business clients.
Two roles, two relationships. When you are our client or visit our site, we handle your information as a controller — we decide how it is used, as described here. When we run an AI assistant, chatbot, or marketing for a client, we process information about that client's customers as a processor on the client's behalf and under their instructions. If you are a customer of a business that uses Kenneavy AI, that business's privacy policy governs your information — please contact them with questions or requests.
1. Information we collect
- Account details — your name, business name, email address, and the login you create. Your email is your login.
- Mobile number — only if you choose to enable SMS login codes. This is optional.
- Billing information — handled by our payment processor (Stripe). We receive limited details such as the last four digits, card type, and billing status; we do not store your full card number.
- Communications — messages, call notes, and information you send us when you contact us, book a call, or submit a form, including the phone number and any note you provide.
- Service and project data — the materials, credentials, and access you give us so we can perform the Services you hired us for (for example, access to a website, domain, or Google Business Profile).
- Usage and device data — basic logs such as IP address, browser/device type, pages viewed, and timestamps, collected to operate, secure, and improve the site and Services.
2. Information processed through the AI assistant and marketing features
When a client enables the AI phone/text assistant, chatbot, or marketing features, the Services may collect and process information about the people who interact with that client's business, including: caller and contact phone numbers, names, and message content; audio recordings and transcripts of calls; chat and text conversations; appointment and inquiry details; and similar information needed to respond and to take messages or book appointments. We process this information as a processor on behalf of the client. The client is responsible for providing required notices and obtaining required consents from their customers — including consent to record calls where the law requires it (such as in Illinois and other all-party-consent states).
3. How we use information
- To create, secure, and administer your account, including sending login/authentication codes.
- To provide, maintain, support, and improve the Services you signed up for.
- To process payments and meet our legal, tax, and accounting obligations.
- To respond to your inquiries and communicate with you about your account and the Services.
- To operate AI features — including transcribing and analyzing calls and messages so the assistant can respond, take messages, and so we can monitor and improve quality.
- To detect, prevent, and address fraud, abuse, security, and technical issues.
- With your direction or consent, to send communications to your customers on your behalf.
4. AI processing and sub-processors
To deliver AI features, we use trusted third-party providers — including AI model providers, speech-to-text/transcription services, and telephony and messaging carriers — that process call audio, transcripts, and message content on our behalf solely to provide these features. We work to use providers that do not use this content to train their own general models, and we limit what we share to what is needed. Where we are able, we keep data on private servers we operate rather than handing it to large third-party platforms. If you want to know where your data lives or which providers we use for your account, just ask.
5. Mobile information and SMS
Your mobile information — your phone number and SMS opt-in/consent — is never shared or sold to third parties or affiliates for marketing or promotional purposes. Phone numbers you provide for SMS login are used solely to deliver the login/authentication codes you asked for, and are shared only with the messaging carrier that delivers them.
SMS login is optional. You can use Kenneavy AI with email alone, and agreeing to texts is never a condition of using our Services. If you opt in, message frequency varies (typically one message each time you log in), and message and data rates may apply. Reply STOP at any time to cancel, or HELP for help. You can also turn SMS off in your account.
6. Cookies and analytics
Our website uses a minimal set of cookies and similar technologies needed to make the site work, remember your session, and understand basic, aggregated usage. We do not use them to sell your personal information. You can control cookies through your browser settings; blocking some may affect how the site works.
7. When we share information
We do not sell your personal information. We share information only as follows:
- Service providers / sub-processors that help us run the Services — for example our payment processor (Stripe), telephony and messaging carriers, AI and transcription providers, hosting and infrastructure providers, and email delivery — under contracts that limit them to processing on our behalf.
- On a client's behalf, where we deliver communications or content to that client's customers as instructed.
- Legal and safety — when we believe in good faith that disclosure is required by law or legal process, or is necessary to protect the rights, safety, or property of you, us, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
As stated above, we never share mobile or SMS opt-in information with any third party for marketing.
8. Data retention and security
We keep personal information while your account is active and for as long as needed to provide the Services, comply with our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements — then we delete or de-identify it. Call recordings and transcripts processed for clients are retained according to the client's instructions and our default retention settings. We use reasonable technical and organizational safeguards to protect information, but no method of transmission or storage is completely secure.
9. Your choices and rights
- Turn SMS on or off at any time (or reply STOP).
- Access, correct, or update your account information.
- Request a copy of your personal information, or ask us to delete it.
- Close your account by contacting us.
Depending on where you live, you may have additional rights under laws such as the Illinois personal-information and biometric-privacy laws or other state privacy laws — including rights to know, access, correct, delete, and to not be discriminated against for exercising those rights. To the extent the AI features process voice data, we do not use it to identify individuals biometrically. To exercise any right, email support@kenneavy.com; we will verify your request and respond as required by law. If you are a customer of a business that uses Kenneavy AI, please direct your request to that business.
10. Children's privacy
The Services are for businesses and are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
11. Third-party links and services
Our site and Services may link to or integrate with third-party services (such as Google or a payment page). Their privacy practices are governed by their own policies, and we are not responsible for them.
12. Data location
We operate primarily in the United States, and your information is processed and stored in the U.S. Where we can, we keep data on private infrastructure we control.
13. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here with a new "last updated" date and, for material changes, make reasonable efforts to notify you. Your continued use of the Services after a change means you accept the updated Policy.
